Administration Assistant

Primary Purpose

This role reports directly to the Administration Manager and is responsible for the delivery of administrative and customer service functions at the Dogs’ Refuge Home (DRH). This role will contribute to the DRH mission by delivering and exceptional customer service experience both visitors of the Dog Refuge Home and over the phone. This role is part time, 3-4 days per week.


  • Provide professional and efficient customer service to callers and visitors to the DRH office
  • Respond to enquiries regarding the status of dogs, impounded dogs, new owner queries, donations, boarding of dogs, fostering and surrendering processes
  • To complete administrative tasks such as the preparation of adoption packs, filing, dog registration changes and donation processing
  • To ensure the DRH retail shop is monitored, tidy and well stocked and taking of monies/EFTPOS is done promptly and accurately
  • To reconcile takings at the end of the day
  • To assist in managing in a timely manner all email enquiries including passing messages on to appropriate staff and formulating replies to general queries as required
  • Act in accordance with all DRH policies and procedures

Qualification and Experience:

  • Previous experience in an administration and reception role or a minimum of one years’ experience in an office environment
  • Intermediate computer skills, including use of client management databases and the Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Capacity to respond to challenging and emotional circumstances with compassion, sensitivity and an animal focussed approach
  • Ability to manage high volumes of enquiries within expected and agreed standards
  • Ability to uphold privacy and confidentiality of client information
  • Demonstrated team orientation and willingness to work with others to get results
  • Strong customer service and continuous improvement focus
  • Shows initiative and well developed problem solving ability
  • Cash handling experience
  • Sound organisational skills and ability to work under pressure
